Collection is visible to one user but missing for another with the same access

💻 Environment/Context

  • Collections
  • Media access
  • Upload

❓ Issue/Question

  • Two users with the same account type and similar tag permissions open the same parent collection, and one of them sees fewer sub-collections than the other
  • Our collection is showing up for me but nobody else. Is there a reason why, or how can I fix this?
  • I can't get the latest collections to show up, so I can't upload pictures. It concerns the men's latest match against X team
  • You can't find or select a collection in Upload or Collections, while admins can see it and other collections appear as usual

👌 Resolution/Answer

  • Check what the user is allowed to see
  • Give the user access to at least one media
    • Remove the collection's tags from their Exclude tags and click Update user
    • Or upload one media with none of their excluded tags, one tag from their Tag access, and their account type under Manage access
    • If the collection is empty, turn on Empty collections
    • Please contact your platform administrator to request that Users > Can edit users permissions be enabled for your account
    • If you're unsure who your platform administrator is, please reach out to the ScorePlay Support team via Live Chat, and we'll help you identify the right contact
  • Workaround: send an external upload link
    • Send the user a link from Upload > Generate external upload link
    • They can upload with it even while the collection is hidden

🥚 Cause

  • A collection only shows for a user when it holds at least one media they can see
  • The user's tag rules and each media's Manage access decide which media they can see
  • You always see media you uploaded yourself, so the uploader still sees the collection
