💻 Environment/Context

  • Publishing
  • Collection
  • FTP to collection
  • Keywords

❓ Issue/Question

  • How can I set up automatic publishing of FTP media to a collection using keywords such as sp_ or opta_?
  • How to set up keyword-based FTP to collection automatic routing?

👌 Resolution/Answer

  • Locate the collection's External ID
    • Navigate to the target collection
    • Click the (3 dots), select Edit and go to the Advanced Settings section
    • Note the value in the External ID field
      • Reminder: Collections created via data integrations (e.g., Opta, SportRadar) already have External IDs configured.
  • Derive the keyword for photographers
    • Translate the External ID into the correct keyword format:
      • Opta
        • Collection's External ID: optaomo_F_g2506774
        • Collection's Raw Name: g2506774
        • Keywords the photographers should use: opta_g2506774
      • SportRadar
        • Collection's External ID: sradar_sr:sport_event:68054842
        • Collection's External ID: 68054842
        • Keywords the photographers should use: sp_68054842
  • Share keyword instructions with photographers
    • Provide photographers with:
      • The exact keyword to embed (e.g. opta_g2506774)
      • Instructions for adding IPTC keywords in their camera or editing software
      • Confirmation that only sp_ and opta_ prefixes are supported — other formats (e.g. game_, match_) will not trigger routing

🔖 Notes

  • ScorePlay's routing engine scans IPTC metadata on every file uploaded to the FTP folder. For keyword routing, it looks for sp_ or opta_ prefixes in the keywords field. When a match is found against a collection's External ID or Raw Name, the asset is automatically moved to that collection. If no match is found, the asset falls back to Live Mode.
  • Keyword matching is case-insensitive, so there is no difference between uppercase and lowercase letters when matching keywords.
  • Routing fails if the IPTC metadata contains more than one opta_ or sp_ keyword. The second keyword prevents routing.
  • Routed media is immediately visible to all users with collection access — there is no review buffer
