How to restrict a single external user's access to one specific collection

In order for you to manage the external user's access, the Users > Can edit users as well as External groups > Can edit permissions should be enabled on your account.

  • How can I make an external user have access to only one collection? I want it for a single user, not for the entire group.

 

👌 Resolution/Answer

  • Use a dedicated tag on the collection combined with a tag-access condition 'AND' on the individual user:
    • Create a dedicated tag that will identify this collection — e.g. ‘availableuser’. 
      • Use a tag that isn't applied anywhere else.
    • Open the specific collection you want the user to access and apply that tag to it.
    • Go to the external group that contains the user and open its Users section.
    • Find the user, click the three dots, and select Edit.
    • Add a tag-access condition using ‘AND’, referencing the dedicated tag.

 

 

🔖 Notes 

  • Because the user needs access to one collection only, the ‘AND’ condition is the correct approach: the user will see only media that is both available to their external group's Account Type ‘AND’ carries the dedicated tag — in practice, the single collection you tagged. The rest of the external group is untouched and keeps normal access.
